Connect Google Gemini to Google Calendar
Connect Gemini to Google Calendar, find a suitable meeting time, and automatically prepare new options every week.
Scheduling a two-hour meeting can easily require a three-hour block. You also need time to prepare and may not want to move straight into the next appointment afterward.
With Connected Apps, Gemini can review your Google Calendar and create events. A Scheduled Action can also have Gemini collect suitable options every week. This guide deliberately starts with one clear calendar and one recurring problem.
Check what you need
You need a Google account that you use for both Gemini and Google Calendar. Keep Activity must be enabled, because Gemini cannot connect to Google Workspace when this setting is off. With a work or school account, an administrator may need to allow Connected Apps first.
- Sign in to Gemini with the same account you use for Google Calendar.
- Check that Google Calendar uses the correct time zone.
- Decide which primary, secondary, or shared calendar Gemini may use.
- Never share a password or other sign-in details in your prompt.
If in doubt, review the current requirements in Google’s official instructions for connecting Google Workspace to Gemini.
Connect Google Workspace
- Go to Google Gemini and sign in.
- Next to your username, click Settings & help or the gear icon.
- Open Connected Apps.
- Find Google Workspace and turn on the connection.
- Click Connect.
- Review the requested access and complete the connection only if you agree.
Check the connection
Start a new chat, type @ in the input field, and select Google Calendar. Begin by requesting information only. This checks the connection without immediately changing your calendar.
Use @Google Calendar and only show my events for tomorrow. Do not change or delete anything, and do not create a new event yet. Name the calendar and time zone you used.
Gemini uses your primary calendar by default. If you want to use a secondary or shared calendar, name it explicitly in your instruction. Check that your events are correct before continuing.
Find a time and schedule it
Include the date range, duration, working hours, buffer time, time zone, title, and desired calendar in your instruction. Separate finding a time and scheduling it into two steps so you can review the proposed options first.
Use @Google Calendar. Find a free time during my working hours this week for a 2-hour meeting with [NAME]. The time is only suitable if my calendar is also free for 30 minutes before and 30 minutes after the meeting. First show the best three options with the date, start and end time, calendar, and time zone. Do not change my calendar yet. After I choose an option: - create an event titled “[TITLE]” in [CALENDAR NAME]; - create a private 30-minute block titled “Preparation” immediately before it; - create a private 30-minute block titled “Wrap-up” immediately after it; - finally, show exactly which three blocks you created.
Review supported actions and limitations in Google’s instructions for managing Calendar events with Gemini.
Schedule a weekly action
Test the search instruction manually a few times first. Once it works well, tell Gemini in the same instruction when and how often it should run. Gemini will turn it into a Scheduled Action and show a summary of the schedule.
Run this every Monday at 7:00 AM: use @Google Calendar to check my calendar for the upcoming working week. Find no more than three free blocks for a 2-hour meeting between 9:00 AM and 5:00 PM, with 30 minutes free before and after. Include the date, times, calendar, and time zone. Do not change my calendar; wait until I choose an option.
When the results arrive, choose the most suitable time and ask Gemini to create the event and both buffer blocks. The weekly check remains automatic while you retain control over the final booking.
Scheduled Actions is rolling out gradually and supports up to ten active actions per account. Read more in the official instructions for scheduling actions in Gemini.
Manage the action and your access
- Open Settings & help and then Scheduled Actions to edit, pause, or delete an action.
- Check the date, time zone, duration, and calendar before scheduling a proposed time.
- Do not let Gemini move or delete an existing event without explicit confirmation.
- Only put necessary information in event titles and descriptions.
- Disconnect Google Workspace through Connected Apps when you no longer use it.
If Google Workspace is missing, check your account, Keep Activity, and, for an organization account, the administrator settings. If events are missing, check the selected calendar and time zone. If Scheduled Actions is unavailable, the feature may not have reached your account yet.
